About the Role
We are looking for an organized Management & Office Assistant who loves to make sure the day-to-day operations run smoothly within our organisation. You will be the key point of contact for internal and external organisational and administrative matters. You will support in planning, communication and project follow up.
Responsibilities
- Cover administrative and organisational tasks for the Senior Management Team, you know exactly what is necessary and how you can support
- Manage calendars, schedule meetings and prepare documentation
- Prepare reports, presentations, notes and communication
- Organize meetings, events, and workshops, including any programs or training planned for employees
- Manage correspondence, including emails and calls, ensuring timely responses and follow-up on critical matters
- Serve as the first contact for suppliers and partners
- Answer phone calls and welcome visitors
- Manage incoming and outgoing mail and packages
- Plan maintaining and service appointments for the company vans (in exchange with Facility Coordinator)
- Issue and collect equipment, alarm codes, and keys for team members
- Organize and plan Catering needs for the daily operation, for planned Meetings and Guest visits
- Organize supplies for company needs regarding new team members
- Organize office supplies, contracts and facility related matters
- Support HR Department with administrative tasks (onboarding, personnel files, absence and holiday registration)
- Support compliance with Dutch workplace regulations, including RI&E assessments and safety workshops
- Oversee building maintenance, coordinating regular maintenance, defect repairs, and insurance matters (in exchange with Facility Coordinator)
- Draft and distribute internal communications, newsletters, and invitations
- Organize gifts for special occasions (departure, birth)
About You
- MBO or HBO level of education in the field of Management Assistant, Hospitality Management, Business Administration
- Experience and/or knowledge in HR is a plus
- Strong organizational skills and attention to detail
- Proactive, service-oriented mindset
- Fluent in English and Dutch (written and spoken)
- Living in the Netherlands
- Available 32-40 hours per week
